GENERAL JOB SUMMARY: 
The Registrar’s Office supports students and the college through responsible and accurate maintenance of student records and consultation and guidance on issues related to course scheduling, student information systems, and related enrollment processes and procedures. The Transcript Specialist, with little or no supervision, contributes to this through entering, importing, and evaluating external transcripts sent to Kirkwood.  The position works with complex student data maintenance tasks, manages multiple transcript workflows, and requires professional judgment to decide transfer equivalencies based on established best practices. The position will also be responsible for communicating workflow status to students.

The typical work schedule for this position will be Monday through Friday from 8 am to 5 pm.

DUTIES/RESPONSIBILITIES:

  • Represent the College in the most positive manner to students, parents, and community members.
  • Communicate effectively with team members, other Kirkwood employees, students, parents, and community members.   
  • Interpret and apply college procedures to individual student situations.
  • Import external transcripts into workflow.
  • Evaluate external transcripts for transfer equivalencies. 
  • Process reverse transfer credits.
  • Develop a working relationship with other departments within Kirkwood.
  • Perform other duties as assigned.
  • Run and maintain processes that support key college functions. Backup and support team members in their work with student records.

PHYSICAL ACTIVITIES WITH/WITHOUT REASONABLE ACCOMMODATION:

 Position involves working in an office setting. Occasional (10-33%) standing, pushing, pulling and grasping. Frequent (34-66%) reaching and viewing a computer and other types of close visual work. Constant (67-100%) sitting, walking, repetitive motion, talking and hearing.

MINIMUM QUALIFICATIONS:

  • Associate degree required.
  • Must have recent and relevant experience or education related to modern databases and other computerized systems.
PREFERRED QUALIFICATIONS:
  • At least one year of experience working in higher education.
  • Experience with Ellucian Colleague student information system.
  • Experience working with transcripts.
